Accounts Receivable Clerk

DEPARTMENT: Accounts Receivables

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Responsible for applying payments to the appropriate accounts and recording and entering cash with order for all companies.
  • Assist with the deposit. Work with deposit partner scanning checks and balancing for bank deposit in a timely manner.
  • Contact customers to resolve problem payments via phone email fax or mail.
  • Issue credits, debits, refunds and adjustments as needed.
  • Handle add-on for credit cards and credit back credit cards.
  • Handle tax issues; request proper form, code account and issue c/m to clear tax.
  • Separate edits and distribute as assigned. Sort and distribute A/R In Box mail on a daily basis.
  • Release, correct, reinstate, and cancel edit as required.
  • Handle weekly collection calls from second letters to customers and follow through until transferred to collection rep.
  • Review, research and resolve any discrepancies with the monthly Trial Balance.
  • Help check and correct edits for order entry.
  • Handle credit card edits for export add-ons.
  • Check daily print out for edits on hold.
  • Assist collection reps with correspondence and research problems as needed.
  • Obtain Proof of Delivery (POD) as needed for disputed accounts.
  • Back up to receptionist on a regular basis.
  • Open mail, Q-Search and perform all other duties assigned.
REQUIRED SKILLS AND ABILITIES:
  • Must have the ability to type accurately 30-35 WPM.
  • Must be able to operate an adding machine and 10-key pad.
  • Must be able to accurately file.
  • Must be able to operate check scanner.
  • Must be able to make qualified decisions.
  • Must be able to read and write in English.
  • Must have good phone skills.
  • Must have good computer skills with a working knowledge of Email, Word, and Excel software programs.
PHYSICAL DEMAND AND WORK EFFORT:
  • Keying/typing, sitting, standing, walking.
  • Constant mental and/or visual attention; the work is either repetitive or diversified requiring constant alertness in an office environment.
  • The job is typically performed under comfortable working conditions; any disagreeable elements are generally absent during normal performance of the job.
  • Compliance with company attendance standards.
  • Travel Requirements are minimal.
  • FLSA status: Hourly — Exempt.
