Accounts Payable Associate I

DEPARTMENT: Accounts Payable

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Seal and mail checks, check remittances and foreign checks.
  • Maintain Material Safety Data Sheet files, scan MSDS information into system.
  • Retrieve vendor invoices from Nasco email for processing.
  • Accurately scan documents into the Document Imaging System for multiple departments.
  • Properly report Daily Orders Received totals.
  • Process A/P invoices with matched PO and receiving record in the A/P match system.
  • Process entries into the general ledger journal.
  • Process manual customer invoices that are not generated by the invoice system.
  • Maintain certificate of insurance database.
  • Record the daily invoice register and verify the store Bill Onlys.
  • Accurately enter manual invoices into batches in the system.
  • Complete assigned monthly closing entries, analysis, data entry and reporting.
  • Process Accounting Department mail and correspondence as needed.
  • Back-up to receptionist for assigned lunch period and as needed.
  • Back-up for Accounting Associate II duties as needed.
  • All other duties as assigned by Accounting Manager and Controller.
REQUIRED SKILLS AND ABILITIES:
  • Must be able to accurately type 30-35 WPM.
  • Must have good general office skills; including 10-key calculator, Word Processing, and Nasco‚Äôs computer system.
  • Must have good communication skills, both written and verbal.
  • Must have excellent telephone skills.
  • Must be detail-oriented, organized.
  • Must be able to read and write in English.
PHYSICAL DEMAND AND WORK EFFORT:
  • Keying/typing, sitting, standing, walking.
  • Constant mental and/or visual attention; the work is either repetitive or diversified requiring constant alertness in an office environment.
  • The job is typically performed under comfortable working conditions; any disagreeable elements are generally absent during normal performance of the job.
  • Compliance with company attendance standards.
  • Travel Requirements are minimal.
  • FLSA status: Hourly — Exempt.
